Special Events Assistant

JOB SUMMARY

The Special Events Assistant provides pre-event, on-site, and post-event assistance for all Rainbows’ special events.  Builds relationships with vendors, donors, community partners, volunteers, and employees to increase the fundraising potential of the Agency.

 

ESSENTIAL JOB FUNCTIONS (RESPONSIBILITIES):

  • Assists Development Coordinator with the planning, production, facilitation, implementation, and follow-up of special events.
  • Distributes event invitations, in coordination with Development Specialist.
  • Reserves event venues and coordinates scheduling, facility needs and vendor requirements with venue representative(s).
  • Coordinates event catering as directed by the Development Coordinator.
  • Orders event-related supplies and equipment and oversees shipping, transportation, and delivery.
  • Supports event volunteers in their assigned activities and collaborates with Volunteer Coordinator to ensure event volunteer goals are met.
  • Communicates details of event to both Development and Marketing teams, collaborating and coordinating activities with other team members.
  • Provides support for event committees including attending meetings, distributing minutes, filing, correspondence and follow-up.
  • Manages logistics planning timelines and maintains internal year-round events calendar and deadlines for Development team.
  • Other duties as assigned.

 

QUALIFICATIONS:

  • Bachelor Degree preferred in hospitality, marketing, communications, or business with strong interest in special events and non-profit organizations.
  • Two years of prior special events experience preferred.

  • Creative thinking.
  • Self-starter and independent worker as well as a great team player.
  • Ability to anticipate needs, stay calm under pressure, and problem solve.
  • Excellent written and verbal communication, with ability to speak before groups and with high level donors.
  • Excellent people skills with ability to build strong relationships and interact constructively with others.
  • Excellent computer skills and knowledge.
  • Ability to perform work tasks within the physical demand requirements as outlined below.
